This article explains how to manage visibility for a competition including who can view the competition, schedules, results and lastly the judge assignments in the FlowScore app.
Step 1: Open Event Setup
1. Click the Setup dropdown menu.
2. Select Try the New Event Setup.
You should be taken to a similar page as the one shown below.
Step 2: Configuring Competition Visibility
Scroll down to the bottom of this page where you will see competition visibility icon.
This section controls who can see the competition in the FlowScore mobile app.
Important: enabling competition visibility only allows user to see that the competition exists. they will not be able to view schedules, results, or judge assignments unless those settings are enabled separately (will be explained later)
You will see four visibility options:
Private: Only admins in scoring can see the competition in the FlowScore app.
Participants: Only people who are registered for the competition and have an associated IJRU account can see it. (Includes athletes and judges)
Logged in: Any user with an IJRU account woh is logged in can see the competition. (includes parents and non-participating athletes)
Public: Anyone can see the competition even without an IJRU login.
Once you have chosen who you want to see your competition click it and press save in the bottom right. (May need to scroll down)
Step 3: Getting to Session Visibility
In the Setup menu on the left side of the page, click Sessions & Stations.
You should see a page similar to the example above, although your schedule may look different.
To begin, click any session or event.
Step 4: Setting Session Visibility
On this session page, you will see three visibility settings on the right side.
These settings control visibility for the specific session you are editing. In the example screenshot, the settings apply only to the Speed Day 1 session.
How Competition Visibility Affects Session Visibility
Session visibility cannot override competition visibility.
For example:
If the competition visibility is set to logged in, and the schedule visibility is set to Public
Then only logged users will be able to view the schedule.
The competition visibility settings acts as the minimum level of access.
Schedule Visibility
To allow athletes and judges to view the schedule, select Participants (given that competition visibility is participants or lower)
If you would also like parents and other IJRU accounts to view the schedule, select Logged in.
Important: Visibility settings only apply to the session you are currently editing. If you want multiple sessions to have the same visibility level, you must update each session individually.
To let people see the schedule for this session you can click Participants for only the athletes and judges or if you want parents as well you can click logged in.
Note: Schedule visibility cannot be changed unless the session has an assigned area, start date, and end date.
Results Visibility
Results do not appear in the app immediately after scores are entered. It may take up to one hour for results to become visible.
Remember: After making any changes, scroll to the bottom of the page and click Save changes button in the bottom right corner.
